Educational Series Episode 2: How to Create a Wedding Day Timeline

Your wedding day should feel exciting, meaningful, and FUN — not like you’re spending the entire day watching the clock.

For Episode 2 of our Educational Series, we’re talking all about one of the biggest pieces of creating a smooth wedding day: your timeline.

Kacey has been a wedding planner for eight years and is now the General Manager here at Superstition Manor. After years of watching wedding days unfold, she knows just how important a well-planned timeline can be — and what couples can do to make sure their day still feels relaxed, even when something doesn’t go exactly according to plan.

Start With Every Vendor’s Timeline

One of Kacey’s biggest pieces of advice is to start by gathering timelines from all of your vendors.

Your photographer may have a photography timeline. Your hair and makeup team may have their own schedule. Your DJ, videographer, caterer, florist, and venue may all have important timing that needs to be considered.

Once those pieces are gathered, your planner can condense everything into one cohesive wedding day timeline.

This is SO important.

Everyone should be working from the same plan so your vendors know when things are happening, where they need to be, and how their responsibilities fit into the rest of your day.

Give Yourself Room Before Dinner

If there is one part of your wedding day where things are most likely to shift, it’s everything happening before dinner.

Hair and makeup could run 20 minutes late.

Photos could take longer than expected.

Your flower girl might not be there when you planned to start.

Someone could forget something back at the hotel.

Little things happen — and even a 30-minute delay can start affecting everything that comes afterward.

That doesn’t mean your wedding day is going wrong. It just means your timeline needs enough flexibility to handle real life.

Build Buffers Into Your Timeline

At Superstition Manor, we love building approximately 15 minutes of buffer time between major events whenever possible.

Think about transitions like your ceremony ending, guests moving into cocktail hour, your wedding party getting ready for introductions, or everyone making their way into the reception.

Those moments take time!

A timeline that is scheduled down to every single minute can quickly become stressful. Building in a little extra space gives your planner and vendors room to adjust without making you feel like you’re constantly running behind.

Don’t Forget Time With Your New Spouse

One of the easiest things to forget when creating your wedding timeline is actually spending time together.

Your day can become a whirlwind of photos, conversations, entrances, dances, dinner, speeches, and celebrations.

If having a quiet moment with your fiancé — or officially your new spouse! — is important to you, put it on the timeline.

Build in a few minutes after your ceremony.

Sneak away together before your reception entrance.

Enjoy a private moment before joining everyone on the dance floor.

Your wedding day goes incredibly fast. Giving yourselves intentional time together can become one of your favorite memories from the entire day.

Keep Wedding Speeches Short and Sweet

We LOVE a meaningful wedding toast.

But speeches are also one of those moments that can unexpectedly add a lot of time to your reception.

If several people are giving speeches, ask everyone to keep their toast around one to two minutes.

It gives your loved ones plenty of time to share something meaningful without turning dinner into an hour-long speech marathon.

Your guests stay engaged, your timeline stays moving, and the party gets started sooner. Win, win, win.

And Finally… Have Fun

Your timeline is there to guide your wedding day — not control it.

Something might run late.

A photo might take longer.

Someone might be missing when they’re supposed to be somewhere.

That’s okay.

This is exactly why having an experienced wedding planner and a cohesive vendor timeline matters.

Once your wedding day arrives, let your planner handle the clock.

Your job is to marry your favorite person, celebrate with everyone you love, and soak in every single second.

We’ll handle the timeline.
