Educational Series Episode 4: What Does an Assistant Wedding Planner Do?
There are a lot of moving pieces happening on a wedding day — and while our couples are celebrating, our planning team is working behind the scenes to make sure those pieces keep moving.
For Episode Four of our Educational Series, Joanna, one of our Assistant Planners here at Superstition Manor, is giving us a look into her role on wedding days and sharing one of the biggest things couples can do to help their planning team bring their vision to life.
What Does an Assistant Planner Do?
Think of an Assistant Planner as another set of eyes, ears, and hands throughout your wedding day.
Our Assistant Planners work closely alongside your Venue Planner to help execute the overall plan for your celebration. While your planner is managing the big picture, the assistant is helping take care of all of those smaller details that keep the day running smoothly.
That could mean checking on centerpieces, helping prepare a space for the next part of the celebration, keeping an eye on the timeline, communicating with the rest of our team, or simply making sure something is exactly where it needs to be.
Every task — big or small — has the same goal:
We want you enjoying your wedding day while we take care of everything happening behind the scenes.
The Little Details Are Part of the Big Picture
When you spend months planning your wedding, there are so many details that become important to you.
Where should something be placed?
When does a vendor need to arrive?
How should the reception space look?
When should the next event on the timeline begin?
On your wedding day, we don’t want you worrying about those questions.
Our planning team is there to help connect all of those individual details into one smooth celebration. The centerpiece placement may seem like a small task compared to keeping an entire wedding timeline moving, but those details all contribute to the experience you envisioned.
Our job is to pay attention to both.

Communication Helps Us Help You
One of Joanna’s biggest pieces of advice for couples is simple:
Communicate with your planning team.
The more we know about what you want, the better prepared we can be to make it happen.
Tell us about your vendors.
Tell us how you want your centerpieces arranged.
Tell us which details matter the most to you.
Tell us if there is something you’re worried about.
And don’t be afraid to ask questions.
Wedding planning involves a lot of decisions, and we never expect our couples to know everything. Keeping an open line of communication with your planner allows our entire team to understand your priorities before the wedding day arrives.
Don’t Be Afraid to Delegate
Your wedding day should not feel like another day of wedding planning.
Once the celebration arrives, give yourself permission to hand things over.
You do not need to be the person checking the timeline.
You do not need to be answering every vendor question.
You do not need to stop getting ready because you’re worried about a centerpiece.
You do not need to solve every unexpected situation.
That is why our team is here.
If you need something, ask us. If you’re worried about something, tell us. And if something needs to be handled, let us handle it.

What Happens If Something Goes Wrong?
Here’s something every couple should know: wedding days do not always happen exactly according to plan.
A timeline might shift.
A vendor might need something.
A detail might need to be adjusted.
Something unexpected might happen.
And that is okay.
Our planners and assistant planners are constantly watching what is happening throughout the day and adjusting as needed. We troubleshoot, communicate, reorganize, and find solutions — sometimes before our couples even realize there was something that needed to be fixed.
We always want to have a plan for you.
So if something comes up on your wedding day, don’t feel like you need to immediately jump in and solve it yourself. Come to your planner or a member of our team and let us help.
Your Job Is to Enjoy Your Wedding
Ultimately, there is one thing we want our couples focused on during their wedding day:
Getting married and enjoying it.
You’ve already spent the time planning, making decisions, choosing your details, and dreaming about what this day will look like.
When the wedding finally arrives, let our team take care of the logistics.
Whether we are adjusting a centerpiece, checking in with a vendor, keeping the timeline moving, preparing the reception space, or handling one of the countless little things happening behind the scenes, we’re doing it so you can stay present for the moments that actually matter.
Laugh with your wedding party.
Take in your ceremony.
Sneak away for those sunset photos.
Dance with your favorite people.
Enjoy the fact that you’re finally married.
We’ll take care of the rest.
